How We Communicate With You
Who to contact for what, and which emails from Specialized need a same day look.
Presented by Jennifer Potter, Director of Client Success.
You should always know how to reach Specialized Property Management, and how we will reach you. This lesson lays out each door into the company, what it is for, and which emails ask you for a decision.
Start with your Dedicated Asset Manager
Your Dedicated Asset Manager is your primary point of contact. One person who knows you, knows your property, and owns your relationship with Specialized. When in doubt about anything, or if you are unsure whom to ask, start there.
Your Asset Manager does not do every job personally. Their role is to know your property well enough to bring in the right specialist and to make sure you hear back. You never have to figure out which department handles a question before you ask it.
The other doors into the company
Behind your Asset Manager you have a few other ways in, and each has a purpose.
Support@specialized247.com is our owner support inbox. When you email it, your message is logged and routed to the right specialist, and it creates a record we can track so nothing falls through the cracks. It is a good channel for anything that is not urgent, and it means you are never waiting on one person's calendar.
Your PropertyWare Owner Portal is where your documents, statements and tax forms live, available any hour of the day. Behind all of it are our department specialists in leasing, maintenance, accounting and rent collection, whom your Asset Manager brings in whenever your property needs deep expertise.
The emails to watch for
Automated emails, such as statement notifications, payment confirmations and portal alerts, are routine but worth a glance.
Leasing updates come while your home is on the market and cover showings, applications and where things stand. Renewal updates arrive as your resident's lease approaches its end, so you always know where the renewal stands.
Rehab Estimates come when your property needs work between residents. They are detailed documents, itemized line by line. Work order approvals show up when a repair needs your sign off before we proceed. These are the most urgent of all, because your resident is usually waiting on the other end. Anything that asks for a decision deserves a look the same day whenever you can manage it.
One habit that helps
Add Support@specialized247.com and your Asset Manager's address to your email contacts so nothing lands in spam. A work order approval that sits in a junk folder is a repair that waits, and a resident who waits with it.
It also helps to check the inbox you gave us at least once a day while your home is on the market or a renewal is pending. Those are the stretches when a message from us is most likely to need an answer.
Where to go for what
Use your Asset Manager for anything and everything. Use Support@specialized247.com when email is easier. Use the Owner Portal for documents and dollars. You will also hear from department specialists on specific items about your property, such as rehabs or renewals. Open and respond to the emails that ask for a decision, and you will always know what is happening with your property.
Key learning questions
- Have I added Specialized's addresses to my contacts so approvals never land in spam?
- When an email asks me for a decision, can I respond the same day?
- Do I know which door to use, my Asset Manager, the support inbox or the Owner Portal, for the question I have right now?
