Maintenance Requests: The Resident's Guide

How to submit a repair request through Property Meld, what happens next, and what counts as an emergency.

Presented by Jennifer Potter, Director of Client Success.

When something in your home is not working, you want two things. You want to know Specialized Property Management heard you, and you want to know what happens next. This guide walks through exactly that, from submitting a maintenance request to the day it is resolved.

How to submit a request

The best way is through Property Meld. Before you submit, it helps to check your lease to confirm the item is the property owner's responsibility rather than yours. A copy of your lease is in your tenant portal under Documents.

When you open a new request in Property Meld, describe what is happening as clearly as you can and include photos or a short video whenever possible. Property Meld may first offer troubleshooting steps based on the issue. Follow them carefully. Sometimes the problem is solved on the spot without waiting for a technician.

Submitting through Property Meld creates a written record, notifies our Maintenance team right away, and lets you track progress without calling the office. You receive an acknowledgment shortly after you submit, so you know the process has started.

What happens after you hit submit

Your request goes directly to our Maintenance team. We review what you sent and decide what is needed. We may contact you for more information, photos, videos or further troubleshooting before dispatching a technician. Please respond promptly. The more we know, the better our chance of identifying the problem correctly, resolving it without a visit, or sending the right technician the first time.

If a technician is needed, we assign a qualified vendor and give you their contact information. Depending on the repair and its cost, we may also need the property owner's approval before the technician can proceed with some or all of the work.

Your part in the process

A smooth repair is a team effort. First, describe the issue completely. Tell us where it is, when it started, what you have observed and anything you have already tried. Photos and videos help a great deal.

Second, allow access. Respond promptly when the vendor contacts you to schedule, or reach out to the technician yourself using the information we provide. If you have authorized entry while you are away, make sure pets are secured and the area that needs service is reachable.

Once an appointment is formally scheduled, please keep it. If a technician arrives for a confirmed appointment and cannot get in because of a missed appointment or access issue, you may be responsible for the vendor's trip or service charge.

How long it takes

It depends on the issue. Urgent problems get priority and we begin on them as quickly as possible. Routine repairs depend on vendor scheduling, parts availability, owner approval and the type of repair.

On average, routine maintenance requests are completed within about five business days. Some finish much faster, and some take longer depending on the circumstances. You can follow the status of your request in Property Meld the whole way through.

Emergencies

For a fire, major flooding, a gas smell, or any situation that threatens someone's life or safety, call 911 or the appropriate utility provider first. Then contact our Emergency Maintenance Line at (817) 886-9226, available any time, any day. Report the issue in Property Meld as well so it is documented and our Maintenance team has the details.

A dripping faucet, a burned out bulb or another routine concern matters to us too, but it does not need the emergency line. Submit it through Property Meld and you will receive an acknowledgment.

Checking status, and if the owner declines

If you are wondering where things stand, add a comment to your existing Property Meld request to ask for an update, or contact your Maintenance Coordinator directly. Property Meld lists the coordinator handling your request and their direct contact information. Keep communicating through the same request rather than opening a new one for the same problem. That keeps the whole history in one place and prevents duplicate work orders that could delay the repair.

Sometimes a property owner declines work. Owners make the final decision on work that is not required to keep the home safe and habitable, such as certain cosmetic improvements or upgrades. If a request is declined, we tell you and explain what it means for your situation. Repairs required to keep the home safe and habitable remain the owner's responsibility, while some maintenance items may be your responsibility under the lease. When in doubt, submit the request. We would rather hear about a small problem today than a big one next month.

Key learning questions

  • Have I described where the problem is, when it started, what I have seen and what I have tried, with photos?
  • Is this an emergency that needs 911 or the utility first, or a routine request for Property Meld?
  • Do I already have an open request for this issue that I should update instead of opening a new one?

Questions residents ask

How do I report a repair?

Submit a request through Property Meld with a clear description and photos or a short video. You get an acknowledgment shortly after, and you can track progress there.

What counts as an emergency?

A fire, major flooding, a gas smell, or anything that threatens someone's life or safety. Call 911 or the utility provider first, then the Emergency Maintenance Line at (817) 886-9226, and report it in Property Meld as well.

How long will my repair take?

Urgent problems get priority. Routine requests are completed within about five business days on average, depending on vendor scheduling, parts, owner approval and the type of repair.

Why are you asking me for more photos or information?

More detail helps us identify the problem correctly, solve simple issues without a visit, or send the right technician the first time. Please respond promptly so the repair keeps moving.

What if I miss the technician's appointment?

If a technician arrives for a confirmed appointment and cannot get in because of a missed appointment or access issue, you may be responsible for the vendor's trip or service charge.

How do I check on an open request?

Add a comment to the existing request in Property Meld, or contact the Maintenance Coordinator listed on the request. Please do not open a second request for the same problem.

What happens if the owner says no to my request?

Owners decide on work that is not required to keep the home safe and habitable, such as cosmetic upgrades. If a request is declined, we tell you and explain what it means. Safety and habitability repairs remain the owner's responsibility.
