Maintenance Requests: The Owner's View
How a repair request moves from your resident to your statement, and where you come in.
Presented by Jennifer Potter, Director of Client Success.
Maintenance is where your property gets cared for week to week. This lesson shows what a maintenance request looks like from the owner's side at Specialized Property Management, from the moment a resident reports a problem to the invoice on your statement.
How a request begins
Most work orders come from the resident, submitted through Property Meld. Every request is reviewed by our Maintenance team before anything is dispatched. We troubleshoot first and, when appropriate, give the resident steps to limit damage while the issue is being addressed. Sometimes a tripped breaker, a dirty air filter or another simple issue is resolved without a service call at all.
Our average response time on a work order is 17 minutes. That helps keep small problems from growing, and it shows your resident the home is looked after, which is part of why residents stay.
Approvals and the NTE
Your management agreement sets a maintenance approval threshold, also called the Not to Exceed amount, or NTE, usually $500 per property. Repairs within that threshold can generally be handled without stopping to ask you, which lets us fix routine issues quickly and keeps a small problem from becoming a larger one.
Anything above the NTE comes to you for approval before work is scheduled. The one exception is emergencies, covered below.
When an approval request reaches you, you receive a notification by email, text or both, based on your preferences. It includes the issue reported, the diagnosis, the estimated cost and a description of the recommended work. Review it, and if anything is unclear, reach out to your Asset Manager or Maintenance Coordinator. A quick response matters more than people expect. An open repair is usually an inconvenienced resident, and every day it waits is another day the issue can grow.
Contributions and rehab estimates
Two situations look a little different. If an approved repair costs more than the funds in your account, we ask for an owner contribution before the repair continues. Our team tells you how much is needed and how to fund your account.
Larger scopes of work, usually at turnover, go through our rehab process instead of a standard maintenance request. Rehab estimates arrive by email with a detailed, itemized scope. The lesson The Rehab Process, Explained walks through that separately.
Emergencies
When health, safety or the property itself is at immediate risk, such as active flooding, no heat in freezing weather or a gas smell, we act quickly. Our first step is to work with the resident to limit the damage. We then contact you, explain the situation, and request approval if the repair exceeds the NTE.
If we cannot reach you and a delay could cause more property damage or create a health or safety concern for the resident, we may proceed above the NTE to stabilize the situation and protect the property.
Property Meld and your Owner Portal
Property Meld is the maintenance platform our team uses to manage work orders. As an owner, you do not receive Property Meld login credentials. You can receive notifications about active requests by email, text or both, and use them to get updates, review information and communicate with us while a request is open. Those notifications cover current, open requests and are not a historical record of past repairs.
Your Owner Portal is your financial and document resource, with monthly statements, invoices and other account documents. If it is about a repair happening right now, the Property Meld notifications are where you get updates. If it is about your account, statements, invoices or documents, look in the Owner Portal.
When something does not look right
Maintenance done well is quiet. Requests come in, get diagnosed honestly, get fixed promptly and show up cleanly on your statement. If anything about a request ever looks wrong to you, your Dedicated Asset Manager or Maintenance Coordinator is your first call.
Key learning questions
- Do I know the NTE amount in my management agreement?
- Are my notification preferences set so an approval request reaches me the same day?
- When a repair question comes up, do I know whether the answer lives in a Property Meld notification or in the Owner Portal?
Questions owners ask
What repairs do you do without asking me first?
Repairs within the NTE set in your management agreement, usually $500 per property. Anything above that comes to you for approval, except in emergencies.
How will I know a repair needs my approval?
You receive a notification by email, text or both, based on your preferences. It lists the issue, diagnosis, estimated cost and recommended work.
What happens in an emergency if you cannot reach me?
If a delay could cause more damage or create a health or safety risk for the resident, we may proceed above the NTE to stabilize the situation and protect the property, then follow up with you.
Do I get a Property Meld login?
No. Owners receive Property Meld notifications about active requests by email or text, but not login credentials.
Where do I find the invoice for a completed repair?
In your Owner Portal, along with your monthly statements and other account documents. Property Meld notifications cover only open requests.
How fast do you respond to a maintenance request?
Our average response time on a work order is 17 minutes. Every request is reviewed and troubleshot before a technician is dispatched.
Why am I being asked for a contribution on a repair?
The approved repair costs more than the funds in your account. Our team tells you how much is needed and how to fund your account so the work can continue.
