Onboarding a Vacant Property: What Happens Next

Your first two steps, what the 45 minute onboarding call covers, and what to have ready for it.

Presented by Jennifer Potter, Director of Client Success.

You have placed a vacant property in our care. Our first job at Specialized Property Management is to get it ready to rent and leased without wasted time. This lesson walks through what happens next so nothing catches you by surprise.

Step one: read your welcome email

Your welcome email holds your key details and next steps in one place. Read it start to finish and keep it where you can find it again. Most of the questions owners ask in the first week are answered there.

Step two: schedule your onboarding call

This is the most important step. Your Dedicated Asset Manager is your primary point of contact at Specialized, one person who knows you, knows your property, and coordinates everything behind the scenes on your behalf. The onboarding call is where the two of you get aligned.

Set aside about 45 minutes. The rest of this lesson tells you what the call covers so you can come prepared.

Communication and the basics of a vacant home

Your Asset Manager will start by asking how you prefer to be reached, by phone, text or email, and how often you want to hear from us.

Then come the practical basics. How do we get keys, and are there copies for mailboxes, garages or storage? Are utilities on right now, and who handles them, you or us, until a resident moves in? A vacant home with utilities off is a home we cannot show, clean or repair, so we settle this early.

The call also covers any home warranty or builder warranty on the property. If one exists, you shared the policy details with our sales team, and on this call we review and confirm them with you so covered repairs go through the right channel instead of costing you twice.

The HOA

If your property sits in an HOA, you shared those documents with our sales team. On the call we review and confirm the details with you, because the answers shape how fast we can lease.

We need to know whether the HOA must approve the lease or the resident before anyone moves in, whether there is an application fee and who pays it, and which amenities convey to the resident. For a gated community, we need the realtor code for showings, how we get added to the gate, and how many gate remotes and pool keys exist. We also ask about pet restrictions so our screening reflects them. Getting these answers up front prevents the single most common onboarding delay we see.

Your Owner Portal and your financial review

Your Asset Manager will walk you through your Owner Portal. That is where you will find your leases once the home rents, your monthly owner statements, and your tax documents at year end. A separate lesson covers the portal in depth, but you will leave the call knowing your way around.

Finally, your Asset Manager holds a financial review with you and goes over your investor benefit package. They explain the benefits available for your property, share the terms and eligibility requirements, and help you decide which options fit your goals.

Before the call

Have your keys and utility details ready. Keep your warranty and HOA documents handy so we can confirm them together. We take it from there. If anything comes up before the call, reach out to your Asset Manager anytime.

Key learning questions

  • Do I know how we will get keys, and are the utilities on today?
  • If my property is in an HOA, can I answer the approval, fee, amenity and gate questions before the call?
  • Have I decided how and how often I want to hear from my Asset Manager?

Questions owners ask

What should I do first after signing?

Read your welcome email start to finish, then schedule your onboarding call with your Dedicated Asset Manager. Those two steps start everything else.

How long is the onboarding call?

Plan on about 45 minutes. It covers communication, keys, utilities, warranties, the HOA, your Owner Portal and your financial review.

Should I leave the utilities on while the home is vacant?

Yes. We cannot show, clean or repair a home with the power and water off. On the call we confirm whether you or Specialized handles the accounts until a resident moves in.

I already gave my HOA documents to the sales team. Why do we go over them again?

The call is where we confirm the details that affect leasing, such as lease approval, application fees, amenities, gate access and pet rules. Confirming them now prevents the most common onboarding delay.

What is in the Owner Portal?

Your leases once the home rents, your monthly owner statements, and your tax documents at year end. Your Asset Manager shows you around it on the call.

What is the financial review?

Your Asset Manager goes over your investor benefit package with you, including terms and eligibility, and helps you decide which options fit your goals.

Who do I call with a question before the onboarding call?

Your Dedicated Asset Manager. Their contact details are in your welcome email.

Still have a question about your property?

Your Dedicated Asset Manager is your first call. You can also reach the team at support@specialized247.com or through your Owner Portal.
